Exchange Cals
Good Morning,
I am curious about exchange cals. Recently my school is moving into new
era of upgrades. I was told by two Microsoft knowledgable individuals
that students and faculty/staff cals cannot be used for alumni. I was
also told that Microsoft considers alumni as external unknown users. My
first question is, has anyone found any truth to this and could someone
send me documentation that specifies school alumni are not covered or
are covered? Second question is what solution have you found to work in
substitution for using exchange that is cost effective and hassle free.

Exchange Cals
Perhaps putting alumni on Office365/Google Apps is a feasible and more economical solution.

In my experience, the answer to this question has very much been a
moving target over the years. For the licensing programs we have been
under the answer has gone from being undefined, to alums not being
eligible, to alums explicitly being eligible, and now back to them not
being eligible.
My recommendation would be to find out the specific Microsoft volume
licensing program your Exchange CALs fall under. Once you do, you can
go to the page below and click on the name of the specific licensing
program. You should then be able to download a "program guide" document
from the resulting page.

In my case, we fall under the "Enrollment for Education Solutions"
program. In the program guide document for this offering there is a
section on perpetual usage rights for graduating students that
explicitly states the rights do not apply to access licenses such as
CALs. Elsewhere in the document, there is language that states you can
define your organization using "clearly defined user groups." To me,
these two items would mean you could use Exchange CALs for alums but
only if you continue to include them in your licensed FTE count in
perpetuity. Again, this was all language specific to the licensing
program we are under here at Chicago-Kent. Other licensing programs may
have different language.

Jimmy,
I raised this question with our main campus Windows System Group
(running an Enterprise Exchange environment), our Software Distribution
folks (we have a MCA in place), with Dell (our preferred software
provider), and with Microsoft themselves. Guess how many different
answers I received.
The answer that I think is closest is that alumni are considered
"affiliated" with UNM but are not eligible to use our MCA CALS. However,
in our case, our MCA CALS didn't cover our students (just faculty and
staff; students were purchased separately) so MS suggested I look at the
External Connector for Exchange. That would also cover our alumni, I
believe.
Sorry this isn't more help but as you can tell, there doesn't seem to be
a right answer.
