Just the fax mam..

We will be moving to a new campus in January 2011. This move comes
with a shiny and new Cisco VoIP phone system! We are exploring the
possibility of providing both staff and faculty a personal fax numbers.
Mostly to receive faxes, but the desktop capabilities to fax out would
be nice. We will have large multi-function printer/copier machines in
the new campus on each floor, but we may or may not allow outbound
faxing from them.... Still under discussion..

Today we use the small standalone fax machines spread around the
campus. Not really manageable by IT, analog phone lines all over
etc..

I've looked at eFax, but it is pretty expensive for our 150 users..

What are you using or what would you recommend...

Just the fax mam..

I didn't realize so much was going on with faxing! I think someone
should put together panel/presentation for CALIcon at Rutgers | Camden
in June to talk about what schools are doing and where this is headed.

Hey Randy,

We're using Captaris RightFax
. This runs on a
Windows server (has to be a physical server), and integrates very well
into an Exchange/Outlook environment. The server just needs a line card
(like a Brooktrout TR1034+P4V4F-4L which has multiple incoming &
outgoing lines). We have a block of 100 DID numbers, and four phone
circuits, two of which are associated with the DID block for incoming
fax calls. We've been using RightFax for at least 6 years now. It's a
pretty solid product that needs very little attention. We have a
relationship with a good local VAR (Advanced Call Processing) that
performs upgrades and supports it when needed, which isn't too often.

We just launched an online faxing service for students last week that could easily be adaptable to faculty/staff. Here's how it works:

We created a fax through email account with Go Daddy: http://www.godaddy.com/gdshop/email/internet-fax.asp?ci=8280. (We started with 200 minutes for 13.99) To fax out, you simply attach a DOC, PDF, JPG (or several other formats) to an email from a specified email address (we created one for faxes) to a specific email address with the phone number as the subject.

We then created a web interface. Students go to a page (within their portal), and upload the document to be faxed and type in the number. (This way they are not required to access the fax email account.) We take that input and then automatically generate the email that the fax company expects and send it off.

For students to receive faxes, there is an 888 number that converts the fax to a PDF and then emails it to our fax email account.

We have someone monitor the fax email account and forward the success confirmations to the respective students as well as the incoming faxes to the recipients. We discard any faxes received without a cover page addressing who the recipient should be.

If we adapted it to faculty/staff, they wouldn't have their own numbers - it would be one central number with someone disseminating incoming faxes, which is what currently happens on a department level with standalone machines. Of course - like with email - nothing sensitive or personal should be faxed anyway.

Just the fax mam..

We have been using Esker¹s VSI Fax for years.. (I¹d say its been ~8 years or
so).. Setup was expensive at the time (we paid around 2000 dollars for the
necessary hardware/software to handle the DID lines (to allow each user
their own number)). Ongoing costs are around 100 per month for two inbound
lines and numbers are available in blocks of 20 for 20 dollars per month.
The maintenance on the software is around 500 annum.

In all, we pay about 200 per month for our solution (60 numbers).. I¹d like
to cancel it, but it still gets a lot of usage.. We also use it for outbound
service.
